The Office of Vice Mayor James Mai seeks an experienced, dynamic, and highly organized
Council Executive Assistant (CEA) to provide administrative, strategic, and operational support. This role will be instrumental in managing social media, marketing, public engagement, and digital communication efforts, ensuring alignment with the Vice Mayor's initiatives and community outreach strategies. The ideal candidate will have a strong background in public relations, website management, web-based tools, digital engagement, and traditional executive support responsibilities. This position reports directly to the
Chief of Staff.
Your Impact Executive and Administrative Support- Assist in managing the Vice Mayor Mai's calendar, scheduling, and travel logistics.
- Prepare correspondence, briefings, and reports for internal and public dissemination.
- Assist in drafting speeches, presentations, and talking points for community events and meetings.
- Handle confidential and sensitive information with the highest level of discretion.
- Coordinate with City staff, community organizations, and stakeholders on key projects and initiatives.
- Attend events, represent the Vice Mayor's office, and communicate effectively with constituents.
- Prepare meeting areas, internally and externally, setup and coordinate location and events for the team

Social Media, Marketing & Public Engagement- Develop and manage strategic digital communication campaigns to enhance public outreach and civic engagement.
- Oversee, update, and create content for social media platforms, ensuring alignment with the Vice Mayor's messaging and policy initiatives.
- Maintain and regularly update the Vice Mayor's website with current initiatives, event information, and important announcements.
- Monitor trends in digital engagement and recommend innovative approaches to strengthen community involvement.
- Manage public relations efforts, including press releases, newsletters, and media coordination.
- Work with marketing and media teams (internally and externally in the city) to procure and organize content
Web & Web-Based Tools Management- Oversee website content updates to ensure an engaging, user-friendly experience with timely information.
- Utilize and manage web-based tools such as Slack, Monday.com, or other internet-based management platforms to streamline office operations, communication, and event planning.
- Analyze digital metrics to assess engagement levels and improve outreach strategies.
- Manage CRM and digital tools to track constituent interactions and support data-driven decision-making.
Preferred Qualifications & Experience - Education: Bachelor's degree in Public Administration, Political Science, Communications, Marketing, Business, or a related field preferred; equivalent work experience may be considered.
- Experience: 1-3 years of experience in executive support, communications, marketing, or public engagement roles, preferably within government, public affairs, or political offices.
- Technical Skills: Proficiency in social media platforms, website management (WordPress or equivalent CMS), and web-based tools (Slack, Monday.com, or similar management platforms).
- Communication Skills: Must have excellent writing, editing, and public speaking abilities.
- Interpersonal Skills: Strong ability to interact with the public, stakeholders, and government officials with professionalism and diplomacy.
- Project Management: Ability to multitask, prioritize, and execute high-profile initiatives with tight deadlines.
- Event Participation: Willingness to attend events, engage with constituents, and serve as a representative of the Vice Mayor's office.
Additional Preferred Qualifications- Experience working in a political office or government setting is a plus.
- Familiarity with Irvine's local issues, policies, and community organizations.
- Bilingual capabilities are a plus.
