Position DescriptionManages a unit within a department. Plans, organizes and develops goals and procedures for the unit. Represents the unit to administrators, outside agencies and others on relevant matters. Supervises subordinate staff.
Major/Essential FunctionsProgram & Accreditation Management- Manages accreditation requirements for all enrolled trainees, ensuring compliance with ACGME and institutional standards.
- Facilitates onboarding and offboarding processes, including orientation and accreditation requirements for incoming and departing fellows.
- Administers program applications, interviews, and selection processes, serving as the primary contact for assigned GME programs.
- Accurately maintains trainee accreditation files, credentialing documents, and educational activity logs.
- Manages multiple computer and evaluation databases to document compliance with accreditation standards.
- Prepares required reports, charts, and statistics to support accreditation and program review.
Communication & Collaboration- Collaborates with the Department Education Director, fellowship program directors, and education personnel to coordinate accreditation requirements and maintain compliance within departmental guidelines.
- Communicates effectively, efficiently, and professionally with program directors, fellows, residents, and institutional stakeholders.
- Professionally drafts correspondence on behalf of program leadership and GME programs.
- Navigates difficult conversations and situations with professionalism, promoting positive team morale.
Operational & Administrative Support- Schedules and coordinates meetings, block/call schedules, didactic sessions, and departmental events.
- Provides secretarial and administrative support to program directors, faculty, and trainees as needed.
- Attends meetings within the School of Medicine, department, and division related to ACGME and GME programs.
- Coordinates and processes payments in alignment with departmental and institutional purchasing policies.
- Works with GME/UME leadership and finance personnel to develop and manage fellowship program budgets, ensuring funds are used appropriately.
- Provides support for special projects and assignments related to departmental educational needs.
Leadership & Supervision- Supervises and mentors new and current fellowship education team members, providing training and oversight of activities aligned with the institution's Values-Based Culture.
- Ensures backup coverage for fellowship coordinators during planned and unplanned leave, and provides interim supervisory support in the Director's absence.
- Promotes team collaboration and morale through effective leadership and support.

Required QualificationsBachelor's degree plus three years of supervisory experience OR a combination of education and/or supervisory experience to equal seven years.
