Position DescriptionPerforms supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.
Major/Essential FunctionsWe are seeking an organized and patient-focused professional to support clinical operations and enhance the patient experience. This role coordinates referrals, biologic therapy approvals, patient communication, and clinic workflow to ensure timely and efficient care delivery. The position works closely with physicians, nurses, pharmacies, and insurance providers to support patient access to treatment and maintain smooth clinic operations.
Biologic Therapy Coordination
- Enroll and monitor patients in biologic medication programs.
- Coordinate with insurance companies, specialty pharmacies, and manufacturers to obtain approvals.
- Communicate with physicians regarding patient status or barriers to therapy.
Referral & Scheduling Coordination
- Manage consult and referral pools in the electronic medical record.
- Gather information from referring providers and schedule patient appointments.
- Notify patients of appointment details and communicate scheduling updates to referring providers.
- Ensure timely and accurate electronic documentation and messaging.
Patient Communication
- Answer clinic phone lines and respond to patient inquiries in a professional and courteous manner.
- Assist with appointment scheduling, prescription refill requests, lab inquiries, and general patient questions.
- Maintain accurate patient information in the electronic medical record.
Clinic Operations Support
- Retrieve and distribute incoming faxes and electronic messages.
- Provide cross-coverage for clinic staff as needed to support clinic operations.
- Assist with administrative and front-office responsibilities when required.
Professional Development
- Maintain compliance with required training and professional development activities.
Required QualificationsHigh school graduation plus five (5) years progressively responsible related experience; additional related education may exchange for required experience on a year for year basis.
